For staffing agencies
Workers confirm tomorrow’s shift by signing on their phone.
Send each worker their assignment with the client, the hours and the pay. When they sign it, you can see who has confirmed and who hasn’t. Maple eSign is Canadian-owned and hosted in Canada. It’s free to use, and you can sign up online, for yourself or your team.
Assignment confirmations
Each confirmation has the details the worker needs for the shift.
Priya gets the assignment confirmation by email and signs it on her phone. It lists the client, the contact, the pay, the hours, the work, the term and the pay day. If you turn on the weekly timesheet, the client’s supervisor signs her hours at the end of the week.

Templates
Set up each form once, send it to every worker.
Save your assignment confirmation, weekly timesheet, client service agreement and new worker packet as templates. The fields stay where you put them, and only the worker, the client and the dates change. To send the same one to a whole crew, use bulk send with a CSV of names and emails. A new account can send 5 documents a day until we’ve reviewed it, for 14 days at most.

Before you send
Ontario wants the details in writing as soon as possible.
You can offer an assignment on the phone. Ontario’s guide to the Employment Standards Act says the details must follow in writing as soon as possible. Put all seven in your confirmation template, and the signed copy shows when the worker opened and signed it. Other provinces set their own rules, so check yours.
When you offer an assignment
What Ontario asks you to put in writing

- The client’s contact information
- The pay: hourly wage or commission, and benefits
