For HR and hiring

New hires sign their paperwork before their first day.

Send the offer letter, the federal and provincial or territorial TD1 (in Quebec, the TP-1015.3-V) and the handbook acknowledgement as one packet. Your new hire signs on their phone, so the paperwork is done before they start. Maple eSign is Canadian-owned and hosted in Canada. It’s free to use, and you can sign up online, for yourself or your team.

Before day one

The new hire goes through each document in order on their phone.

They open one link and go through the offer, the TD1s and the handbook in order. On each TD1 they tick the form’s own certification line and sign, and the date is filled in for them. Each document shows up on your day-one list as it comes back.

Templates

Set up the new hire packet once and reuse it for every hire.

Save your offer letter, the TD1s and the handbook acknowledgement as templates and send them together. Fields like the role and the start date stay where you put them, and only the person changes.

What the CRA asks

The CRA has conditions for electronic TD1s.

The CRA lets an employee send their federal and provincial or territorial TD1 electronically. We read its page on October 26, 2026 (it was last updated August 15, 2022). Here are five of the things it asks, and how each one goes in Maple eSign. Quebec’s TP-1015.3-V isn’t a TD1, so these conditions don’t cover it. Read the page yourself before you rely on it.

Electronic TD1: what the CRA asks

  1. Security measures “to authenticate the individual’s identity”, since there is no written signatureEach hire signs from a link sent to their own email. Decide if that is enough for you.
  2. A certification “confirming that the information given by the individual is accurate”Add a checkbox with the form’s own certification line.
  3. “A format that cannot be altered”The signed PDF is sealed. A change means a new TD1.
  4. “Include a date”A date-signed field fills itself.
  5. “Mirror the CRA approved TD1 paper form”Upload the CRA’s own PDF and place the fields on it.
